Seller Preferences

Your Seller Preferences control how your store operates on Sportlots and how buyers interact with you.

Payment Method

Sellers must set up a valid payment method in order to receive funds for completed orders for the month. Options include:

  • Credit – Earnings are added to your Sportlots Credit balance each month. You can manually control how much money you want withdrawn from credit and can use some or all of these funds for purchases on Sportlots. Credit withdrawals are manually processed and may take up to a 7 day delay for processing.
  • PayPal – All earned money for the month will be paid automatically on the 1st of each month.
    • Payments are made using your Sportlots registered email address.

Vacation Mode

Vacation Mode allows sellers to temporarily pause new purchases while maintaining their inventory listings. When Vacation Mode is enabled:

  • New orders cannot be placed
  • Existing orders must still be fulfilled
  • Buyer cart items are moved to Save for Later until your account is set back to Online status

When going on vacation set your Expected Return Date. For buyers who have items in their shopping cart for you, this lets them know when your items will be available for purchase.

Loot

Setting your loot percentage determines the amount of Seller’s Loot provided to buyers for future purchases. The percentage can range from 0 – 10% of the price of the sold items. This encourages repeat business.

Buyers can use loot 48 hours after it has been earned and it will expire after 90 days.

Image Preferences

Image thresholds determine at what price threshold buyers can request pictures to be loaded for cards they are interested in purchasing.

  • Set this to 999.00 if you do not want buyers submitting image requests under any circumstances.

Offer Thresholds

Sellers may control whether offers are accepted and set thresholds that determine:

  • Whether offers are allowed
  • Minimum acceptable offer amounts

These thresholds help sellers manage negotiation activity efficiently.

Blocking Buyers

Sellers may block specific buyers manually or configure automatic blocking rules based on Sportlots-defined criteria. Blocking prevents new transactions with those buyers but does not affect existing orders.

Buyer No-Pay Criteria
This feature lets you automatically block buyers who have not paid for a certain number of orders within a selected time window. Use wisely: this can reduce non-paying customers, but it can also limit the number of orders/bids you receive.

Updating your criteria will not immediately update your omit list. The omit criteria is updated twice a day.

If you do not set criteria, only buyers you manually blocked and buyers blocked by Sportlots for other reasons will be prevented from bidding on your auctions and/or ordering cards from your inventory.

When setting Buyer No-Pay Criteria, you choose:

  • Order count threshold (block buyers who haven’t paid for X or more orders)
  • Time window (1 month, 3 months, 6 months, 1 year, or 5 years)
  • Order type to include (Auction Orders, Fixed Priced Orders, or All Orders)

Store & Inventory Management

Adding Inventory

Sellers can add inventory by Set or by Player. Before entering inventory, the set-up process helps you locate the group of cards you want to enter and define defaults that speed up entry.

  • You can enter cards for one sport and one condition at a time. Cards from different sports or different conditions must be entered separately.
  • During set-up, you can define a default BIN code (to help locate cards when pulling orders) and a default price.
  • The default price is typically your base/common price for the batch so that, on the detail page, you only need to change pricing for star or higher-value cards.

During set-up, you can also choose what happens when you are entering a card that you already have in inventory:

  • Update existing entry – Increase quantity on the existing listing and set the price to either the current price or the new price.
  • Create a separate entry – Add a second listing for the same card so it can have independent pricing.

After set-up, each card must be reviewed with the quantity you have and the price. You can also override the BIN code on a per-card basis when needed.

Updating Inventory

Inventory should be updated promptly to reflect:

Important: Inventory quantities are automatically adjusted when items are purchased on Sportlots. However, if an order is adjusted and items are returned, inventory must be manually re-listed (quantity restored) if you want those items available for sale again.

  • Price changes
  • Quantity changes
  • Condition updates
  • Adding optional pictures

Failure to maintain accurate inventory may result in order cancellations, refunds, or seller performance penalties.

Removing Inventory

Items that are no longer available must be removed promptly to prevent failed orders and buyer frustration. To remove inventory, use the Update Inventory screen and change the quantity available to 0.

Also: If cards are sold or traded outside of Sportlots, it is important to promptly update quantities or remove listings on Sportlots to prevent orders being placed for cards that are no longer available.

Requesting New Sets

If a set is not currently available in the system, sellers may request that new sets be added. Sets in this area are given highest priority to be added to Sportlots. Approval and availability are subject to Sportlots review.

Postage Rates & Shipping Rules

Sellers are responsible for setting accurate shipping rates and participating in eligible shipping programs.

Shipping Options

Depending on seller configuration, buyers must select:

  • Budget Shipping
  • Premium Shipping
  • Box Shipping

for both U.S. and Canada shipping. If you wish to not participate in U.S. or Canada shipping, set your shipping rates to $999.99 to prevent orders from that country.

Sportlots also allows you to set Premium Rate Threshold rates for both U.S. and Canada. Orders over this threshold amount will require that the buyer select Premium shipping and Budget shipping will no longer be allowed. This does not impact Box Shipping.


Seller Responsibilities Summary

Sellers are expected to:

  • Maintain accurate inventory listings
  • Set clear and accurate shipping rates
  • Set your vacation status when appropriate
  • Set and maintain a valid payment method

Failure to meet these responsibilities may result in order cancellations, refunds, payment holds, performance penalties, or account enforcement actions.
